Job Description


TempExperts is seeking an Executive Assistant to join a St. Petersburg government agency. This professional will support the Chief Executive Officer and the Board of Commissioners. This role requires a candidate who can demonstrate professionalism, discretion, and confidentiality in all interactions. The Executive Assistant will work independently and with little supervision.

Responsibilities will include but not be limited to:
  • Preparing Board meeting agendas and meeting minutes
  • Coordinating and distributing information packets to the Board
  • Conducting research and preparing reports and presentations
  • Performing records management and retention functions
  • Screening and routing phone calls
  • Coordinating and managing the CEO’ s calendar; setting appointments and handling internal and external communications
  • Arranging senior and all-staff meetings and creating meeting activities
  • Arranging travel accommodations and special events
  • Maintaining and managing the agency fleet
  • Performing and coordinating mail details
  • Processing Accounts Payable transactions and handle check disbursements to employees and vendors
  • Training and coaching clerical staff to ensure full utilization of skills
  • Supervising clerical and customer service staff members
  • Serving as backup to the Human Resources and Procurement departments
  • Performing special projects as requested

Qualifications and Requirements:
  • Bachelor’ s degree in a related field – preferably Business Administration
  • 3-5 years’ experience as an Office Manager and/or Executive Assistant
  • Possession of a valid Florida driver’ s license

  • Professional demeanor; capable of working effectively in a fast-paced environment
  • Excellent written and verbal communication; great relationship-building
  • Great judgement and decision-making skills
  • Comfortable with time management, multi-tasking, and delegation
  • Computer proficiency in Windows operating system and MS Office software (Word, Excel, Power Point).
  • Able to operate internet applications, email, and proprietary software programs.
  • Able to type quickly and accurately – at least 50 WPM
  • Travel between office sites and meetings as well as travel to out of town conferences as necessary
