Legal Assistant – Trust & Estates
Full Time - Direct Hire
Sarasota, FL

TempExperts is hiring on behalf of a full-service law firm with multiple offices throughout Florida looking for a Trust & Estate Legal Assistant for their Sarasota office. Our client is looking for a professional, meticulous, and driven individual who is comfortable working with multiple attorneys.

Duties and Responsibilities:
  • Providing comprehensive administrative assistance to attorneys, specifically in areas involving estate planning and trust/estate administration, with a consistent track record of producing accurate, high-quality work.
  • Familiarity with legal procedures and protocols relevant to probate and trust matters, including applicable jurisdictional guidelines.
  • Skilled in filing legal documents through electronic and traditional court systems, ensuring adherence to local court mandates.
  • Background working within mid-to-large law firms, with a collaborative approach to coordinating efforts with internal departments such as billing, records, conflicts, and training.
  • Strong written and verbal communication abilities used in the creation, editing, and review of legal correspondence and documents.
  • Competent in monitoring attorney and client-related expenditures and utilizing accounting software to process reimbursements and vendor payments.
  • Able to support attorneys with the billing process by managing time entries, maintaining billing schedules, making revisions, and distributing invoices both digitally and physically.
  • Responsible for arranging court appearances in compliance with scheduling protocols and rules specific to local courts.
  • Ensure legal and procedural deadlines are calculated accurately and communicated clearly to the legal team for timely compliance.
  • Coordinate client meetings and other appointments in sync with attorneys’ calendars.
  • Assist in the planning and execution of business development initiatives, including events and professional gatherings.
  • Organize and maintain both digital and physical case files to support legal team efficiency and case readiness.

Qualifications and Prior Experience:
  • 2-year degree or comparable experience.
  • 5 or more years of experience in a law firm.
  • Florida probate experience is preferred.
  • Experience supporting multiple attorneys.
  • Writes clearly and informatively, edits work for spelling and grammar. Demonstrates accuracy, thoroughness, and diligence.
  • Excellent written and verbal communication.
  • Exceptional People Skills (In-person and on the phone).
  • Compassionate, Meticulous, and Professionalism.
