Position Overview
The Office Administrator is a critical part of the branch team, supporting daily operations through a blend of administrative, payroll, and financial coordination responsibilities. This role ensures efficiency, accuracy, and compliance across multiple areas while serving as a key communication hub between field teams, leadership, and corporate support functions.
Key Responsibilities
Manage timekeeping and payroll processes, including collecting and submitting weekly employee hours for processing.
Maintain accurate data entry and reporting within Salesforce and other internal systems.
Support invoicing, accounts payable/receivable, and billing tracking to ensure timely financial operations.
Coordinate meetings, prepare agendas, document minutes, and track follow-up items.
Monitor and maintain safety documentation to ensure compliance with company and industry standards.
Track deliveries and ensure secure, timely distribution of materials, including employee paychecks.
Provide general administrative and operational support to the regional team.
Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
2+ years of administrative experience, preferably in construction, industrial services, or a similar environment.
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Experience with Salesforce or similar CRM/project management tools is a plus.
Strong organizational skills with the ability to multitask and prioritize effectively.
Exceptional attention to detail and accuracy.
Excellent written and verbal communication skills.
Ability to handle confidential information with professionalism and discretion.
Basic understanding of accounting processes, including AP/AR and invoicing, preferred.
