Parts and Inventory Specialist
Tampa, FL

TempExperts is currently seeking a Parts and Inventory Specialist to join a busy manufacturing environment. This position blends customer service, administrative processing, inventory support, and light hands-on work. The right candidate will help manage tooling and service part orders from quote through fulfillment, maintain critical records, support purchasing activities, and coordinate closely with operations and production teams to keep schedules and inventory on track.

Responsibilities:
  • Prepare and process tooling quotes and orders, send confirmations to customers, and maintain organized files.
  • Enter tooling and service part orders into the business system, generate invoices, and track order status.
  • Communicate with customers, answer questions and provide updates on orders and shipments.
  • Maintain and update bills of material (BOM), part files, and production schedules to support tooling operations.
  • Track tools assigned to demo areas and coordinate ordering of replacements with supervisor approval.
  • Pick service parts from inventory to prepare for packing and shipping.
  • Serve as backup support for outbound shipments, including small parcel carriers.
  • Assist with procurement tasks such as negotiating pricing, issuing purchase orders, expediting delivery, and resolving receiving or billing discrepancies.
  • Help maintain accurate inventory by organizing parts storage, labeling, tracking stocking levels, and preparing inventory balance or shortage reports.
  • Monitor production schedules and contribute to keeping work areas organized and compliant with housekeeping standards.
  • Review shipping and receiving activities to ensure products match orders and discrepancies are documented.
  • Support contract reviews, purchase change notices, and vendor documentation to maintain compliance.
  • Perform additional administrative or coordination tasks as needed to assist the team.
Requirements / Education:
  • High school diploma or GED required; associate degree or college coursework preferred.
  • At least 3 years of experience in an office support role within a manufacturing or industrial environment, handling tasks like data entry, customer service, or operations coordination.
  • Comfortable reading and maintaining detailed part records, BOMs, and tooling documentation.
  • Strong communication skills — able to speak and write clearly in English, adapt writing styles, and effectively present numerical or technical data.
  • Proficient with Microsoft Word, Excel, and common web browsers.
  • Highly organized and detail-oriented with the ability to manage multiple priorities and follow through on commitments.
  • Works well independently, takes initiative, and is willing to put in extra time when needed to meet goals.
  • Physically able to sit, use hands for detailed tasks, occasionally lift up to 25 pounds, and work in an office/light production setting.
