Position Summary:
The Legal Assistant supports several defense attorneys and one commercial transaction/real estate attorney. This individual will be responsible for providing excellent client/customer service.

Duties and Responsibilities:
  • Prepare probate and guardianship court documents including summonses, complaints, motions, pleadings (including notice and service lists), orders, subpoenas and fee petitions from draft or dictated text.
  • e-File documents in local and collar county courts
  • Work with Docketing to calendar court dates
  • Assist with administering probate and trust estates at the direction of attorneys including obtaining supporting financial, legal, and other administrative documents.
  • Type, edit, file, and compose correspondence, including letters, memoranda, and other documents. Transcribe dictation and/or edit handwritten documents.
  • Update and maintain databases.
  • Ensure daily scanned mail has been saved to the proper electronic matter folder.
  • Interact with clients, visitors, and attorneys/staff from other Hinshaw offices via phone, e-mail, and in-person.
  • Open new files, check conflicts of interest, and maintain all client and general files.
  • Make appointments; maintain calendar and deadline reminder system; process expense reimbursements through Chrome River.
  • Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.
  • Other administrative duties as requested.
Qualifications and Prior Experience:
  • High school diploma or GED equivalent mandatory.
  • 2 or more years of experience required in a related position within a law firm. The ideal candidate will have experience as a legal assistant/paralegal in Trust & Estates and Probate.
  • Working knowledge of Excel and Microsoft Word software, ability to adapt to new software easily. Knowledge of or ability to learn Chrome River expense software, SimplyAgree and InTapp, and other software as needed.
  • Writes clearly and informatively, edits work for spelling and grammar. Demonstrates accuracy, thoroughness, and attention to detail.
  • Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully. Listens and seeks clarification; responds well to questions.
  • Excellent research capabilities, communication, and interpersonal skills.
  • Commits to additional hours of work when necessary to reach goals.
  • Balances team and individual responsibilities; contributes to building a positive team environment/Focuses on conflict resolution.
